Dear VPV Homeowner:


The VPV Board of Directors is pleased to provide you with the enclosed communication, keeping you informed about the progress of the Exterior Renovation Project.


We have been busy since the September 6, 2007 Special Meeting which reviewed the detailed status of the project to date.  The package that was distributed following the meeting contained a lot of specific information on the project’s scope, as well as responses to your concerns and inquiries.  We encourage you to re-visit that material to ensure you are knowledgeable of the work in place.  If you need a fresh copy of the document, it can be located on our new website at:   http://www.villagepalosverdes.org/VPVExtRen/ under the 09/07 Q and A.


During this recent period, the Board of Directors has held numerous meetings and working sessions focused on moving this project forward in the most responsible and timely manner.   While the Board has shifted into the forefront of leading the project, we have included Phil Greer-VPV Maintenance Manager in all of our efforts and continue to rely on the support provided by the dedicated volunteers of the Exterior Renovation Committee.  Following a thorough review of the proposal information submitted through the initial solicitation process last August, the Board launched into action to more thoroughly define our specific needs and ensure we obtained services of a more collaborative nature.  Upon additional outside Legal advice, we believed it was in the Association’s best interest to re-visit the structure of the initial proposal, and open the opportunity to additional candidates.  This work has resulted in the enclosed documents and evaluation tools which, we are confident, will determine our best candidate and partner for the success of this valuable endeavor.  The candidates were made aware of our intention to have a selection confirmed before February 28, 2008.


The revised Request for Proposal (RFP) outlines the objectives we are committed to meeting, or exceeding.  The short-listed candidates responded to this package with the knowledge that we have high-expectations for their performance to ensure we receive the best value for our investment.  In fact, all of the RFP recipients commented that this was the most thorough and detailed RFP of this nature with which they had been challenged.  


Supporting this structure for unbiased and thorough evaluation of the candidates, the following reference checks were also conducted:

Included, is a letter from Laura Snoke, the VPV Homeowner Association’s attorney, substantiating the appropriate conduct and level of effort in which the Board is fulfilling this responsibilility.  We encourage you to review this package in detail, gaining a perspective on where VPV is in the process.  We look forward to next announcing who our successful partner is and when you will get an opportunity to meet them and review the documents which convinced us they were the right professionals to see us through this venture.
